About Us

We are seeking a highly organized and proactive Administrative Executive Assistant to support our executive leadership. This role requires strong attention to detail, excellent communication skills, discretion, and the ability to handle multiple priorities with efficiency. The ideal candidate will act as a gatekeeper and liaison, ensuring the executive's schedule and tasks run smoothly and efficiently.

Job Description
  • Manage complex calendars, schedule meetings, and coordinate travel arrangements (domestic and international)
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Handle confidential information with integrity and professionalism
  • Serve as the primary point of contact between executives and internal/external stakeholders
  • Plan and execute internal and external meetings, events, and offsites
  • Track and manage expense reports, invoices, and reimbursements
  • Conduct research and compile data to support decision-making
  • Manage incoming calls, emails, and other communications on behalf of the executive
  • Maintain filing systems and ensure proper documentation
  • Support project coordination and administrative follow-up


Work Conditions:

  • Hybrid or in-office, depending on company policy
  • Occasional extended hours to meet deadlines or support travel
Requirements
  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role
  • Exceptional organizational and time-management skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software (e.g., Google Workspace, Zoom)
  • Excellent written and verbal communication skills
  • Ability to work independently and handle multiple tasks in a fast-paced environment
  • High level of discretion and confidentiality
  • Bachelor’s degree preferred (but not required)


Preferred Skills:

  • Experience working with C-suite executives
  • Familiarity with project management tools (e.g., Asana, Trello, Monday.com)
  • Event planning or logistics experience
  • Bilingual or multilingual a plus
